We are seeking a highly skilled and professional Executive Personal Assistant to provide comprehensive support to a high-level executive in Saudi Arabia. The successful candidate will be responsible for managing the executive’s daily activities, coordinating schedules, handling confidential information, and ensuring efficient operation of the executive’s office. This role requires exceptional organizational abilities, excellent communication skills, and a high level of discretion and confidentiality.
Responsibilities:
- Calendar and Schedule Management:
- Maintain and coordinate the executive’s calendar, ensuring accurate scheduling of appointments, meetings, and travel arrangements.
- Plan and organize the executive’s daily activities, including prioritizing tasks, managing deadlines, and providing timely reminders.
- Travel Coordination:
- Arrange international and domestic travel itineraries, including flights, accommodations, ground transportation, and visas.
- Prepare travel expense reports and ensure timely reimbursement.
- Communication and Correspondence:
- Manage incoming and outgoing correspondence, including emails, letters, and phone calls, ensuring timely responses.
- Screen phone calls, prioritize messages, and handle inquiries on behalf of the executive.
- Meeting Support:
- Coordinate and prepare materials for meetings, including agendas, presentations, and reports.
- Attend meetings, take minutes, and distribute meeting summaries as necessary.
- Confidential Information Handling:
- Maintain utmost confidentiality and discretion in handling sensitive information and documents.
- Prepare confidential reports, presentations, and other materials as required.
- Office Management:
- Maintain an organized and efficient office environment, including managing office supplies, equipment, and records.
- Assist with document preparation, editing, and formatting.
- Relationship Management:
- Act as a liaison between the executive and internal and external stakeholders, including clients, partners, and colleagues.
- Build and maintain strong professional relationships with key contacts.
Qualifications:
- Bachelor’s degree in business administration, management, or a related field would be advantageous.
- You will require a minimum of five (5) years solid and continuous experience as an executive assistant or personal assistant to senior-level executives ideally in a large scale/ global corporate environment.
- You will be highly adaptable and possess excellent typing skills (at a minimum of 50 wpm).
- Shorthand desirable but not essential.
- Excellent verbal and written communication skills in English
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Demonstrated ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
- Strong interpersonal skills and the ability to work effectively with individuals at all levels.
** Please note that holding a European Passport is a mandatory requirement for this role**
