PE Global are delighted to be working with our client who are a tier 1 civil engineering contractor with operations across Ireland and the UK and offices in Dublin, Cork, Limerick, and London, they are a leader in large-scale construction projects.
We are currently seeking an experienced Site-Based Administrator for a major commercial construction project located in Dublin City Centre. This is a fast-paced role that requires a highly organised, detail-oriented individual to manage administrative operations on-site.
Responsibilities:
- Oversee document control, maintain site records, process invoices, and handle project correspondence.
- Coordinate meetings, support health & safety documentation compliance, and liaise with site managers, engineers, subcontractors, and other stakeholders.
- Support the Regional Director with administrative needs.
- Ensure consistency and accuracy in documentation using tools such as Microsoft Office and project software.
Key Duties:
- Maintain and update project records, directories, and training certificates across various platforms.
- Manage document flow, control revisions, and distribute project updates.
- Prepare progress reports, meeting minutes, and client submittals.
- Administer Procore (user setup, assistance, compliance checks) and manage Evercam access.
- Order site supplies including stationery, consumables, and furniture.
- Coordinate site drawing reviews and maintain plant/equipment records.
- Monitor access system reports and address any discrepancies.
- Assist with on-site logistics including bookings and visitor coordination.
- Track staff training records using Skillko.
- Prepare monthly project progress presentations.
- Manage waste documentation and verify against haulier logs.
- Handle dust and patrol report uploads (Procore).
- Organise occasional team events or nights out.
- Support PPE procurement and signage inventory management.
Key Skills:
- Excellent organisational skills and multitasking ability.
- Strong communication skills, both written and verbal.
- Experience in document control and compliance tracking.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with project/document control platforms.
- High attention to detail and accuracy.
- Problem-solving mindset and ability to work collaboratively.
Experience:
- Prior experience in a similar administrative role, ideally within construction, engineering, or a related industry.
- Familiarity with site-based operations, compliance documentation, and construction software (e.g., Procore, Aconex).
- Understanding of health and safety processes on construction sites is advantageous.
